Job Description
Job Title: Administration and Welfare Coordinator
Job Purpose: To oversee payroll execution, HR system operations, and staff welfare activities while ensuring compliance with administrative policies and smooth exit procedures for non-Seychellois staff.
SUMMARY OF DUTIES AND RESPONSIBILITIES
- Payroll Execution & Attendance Management
- Administer end-to-end payroll for all staff across GSC and cluster companies using Space 95 Payroll software.
- Ensure all employee data including CTC, allowances, deductions, and leave impacts are correctly reflected before finalizing payroll.
- Monitor and process leave applications ensuring proper approvals and cross-check with attendance logs.
- Coordinate salary disbursement timelines with the finance team and generate pay summaries and audit reports monthly.
- Prepare data for annual salary revisions, maintain payroll registers and reconcile discrepancies if any.
- HR Systems & Data Management
- Administer the implementation, configuration, and updates of HRS PERSONAL and Payroll software in Space 95.
- Provide end-user training to all HODs and team members on the proper use of the software as per role-based access rights.
- Maintain accurate real-time data of all staff including contact information, departmental placements, and cost-to-company details.
- Incorporate policy or statutory changes into the HR software and ensure compliance with local labour regulations.
- Generate periodic HRIS reports for management review.
- Welfare & Canteen Management
- Monitor and manage operations of the staff canteen, including hygiene, meal schedules, vendor contracts, and budgeting.
- Liaise with catering providers to maintain quality standards and review monthly cost reports.
- Address staff welfare concerns such as health issues, grievances related to food, and escalate to the HR Manager if unresolved.
- Conduct inspections of welfare facilities and prepare reports with corrective action plans where needed.
- Support to HR Operations
- Maintain centralized records of department-wise staffing, open positions, and recruitment status in collaboration with the HR Executive.
- Assist in drafting standard HR documents such as probation extensions and transfer notices when needed.
- Coordinate departmental requirements with Admin and HR teams for special projects or audits.
- Policy Implementation & Compliance
- Support in drafting and implementing HR policies in line with labour laws and internal standards.
- Track compliance metrics and provide updates on disciplinary procedures, grievance resolutions, and employment code adherence.
- Monitor and report on adherence to workplace safety and hygiene regulations.
- Work Structure and Exit Formalities
- Maintain the work structure by updating job requirements and job descriptions for all non-Seychellois positions.
- Ensure exit forms are properly filled and approved before proceeding with ticket bookings and staff Exit procedures.
- Additional Responsibilities
- Undertake any other cognate duties as may be assigned by management from time to time, upholding professionalism and the dignity of labour.
- Need to assist in all matters to HR Executive on day-to-day basis to ensure smooth flow of operations.
